Administrative Assistant II, Department of Political Science

This position provides complex administrative support to the Department of Political Science under the supervision of the Chairperson, requiring comprehensive knowledge of the department, strong organizational and interpersonal skills, discretion, and attention to procedures and confidential matters.
Responsibilities
- Maintains and assists in the development of department systems including databases and documents (e.g., majors/minors, advisor/advisee records, community agencies for service learning/internships, student academic plans, faculty lists, computer inventory, key inventory, supply lists, syllabi, and course schedules).
- Prepares official documents or uses university computer programs for faculty contracts, travel approvals, search-related documents, course scheduling, student enrollment, advisor assignment, promotional materials, professional memberships, and other tasks as directed.
- Assists in preparing and administering the department budget by updating accounts and running periodic transfer reports.
- Provides general oversight of department and faculty support, including syllabi retention, copying, scanning, archiving documents, book orders, supply orders, work control (repairs, special projects), bulletin board maintenance, new faculty space setup, office moves, and maintaining the general appearance of office space.
- Serves as editor for the department website, telephone directory, TU directory, and Secure Share drives.
Requirements
- High School Diploma or GED.
- Three years of experience providing administrative support.
- General knowledge of and skill in applying office practices and procedures.
- Ability to communicate effectively both orally and in writing.
- Ability to proofread and edit written documents.
- Proficiency in computer software such as word processing, spreadsheets, databases, presentation programs, internet, email, and calendaring software.
- Ability to understand and follow oral and written instructions.
- Ability to interact effectively with internal and external parties in a courteous and efficient manner.
- Ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions.
Additional related experience or formal education may substitute for the education or experience requirement on a year-for-year basis, with 30 college credits equivalent to one year of experience.
Preferred Qualifications
- Experience in Higher Education.
- Proficiency with PeopleSoft and Stratus Financials.
Pay
$46,736 annually.
