Purpose of Role

To provide reliable, responsive, and versatile administrative support that enables the business to operate efficiently and effectively.

Key Accountabilities

  • Ensures smooth day-to-day administrative operations
  • Supports achievement of department and organizational goals and KPIs
  • Captures and coordinates activities, information, and resources
  • Ensures timely completion of administrative requests, transactions, and support activities
  • Ensures deliverables are completed accurately and on time

Primary Responsibilities

  • Cook domestic and international travel arrangements, including flights, hotels, transportation, itineraries, and related logistics
  • Process invoices and other administrative transactions
  • Maintain department records, files, databases, and administrative documentation
  • Monitor and follow up on approvals, payments, and outstanding administrative requests
  • Manage calendars, schedules, meeting logistics, and conference room reservations as assigned
  • Prepare, format, and distribute documents, reports, presentations, correspondence, and meeting materials
  • Serve as an adaptable resource to support the business and special projects as needed for business continuity

Qualifications

  • Ideal Microsoft Office applications
  • Demonstrated success supporting multiple leaders, departments, or stakeholders simultaneously
  • Proven success working independently while maintaining responsiveness and customer service
  • Experience with shifting priorities and managing multiple requests simultaneously
  • Fluent in Japanese
  • Preferred Associate's degree in business administration or related field
  • 3+ years of administrative support experience
  • Oracle or other ERP system experience
  • Administrative or office management certification

Compensation

The hiring range for this position is $27.00 - $34.00 per hour + bonus. This is the hiring range and does not include the value of benefits. The hiring range does not reflect total earning potential over time. Final offers within the posted compensation range are based on qualifications, skills and experience required for the role.
