About the role
The Florida Gaming Control Commission is seeking an Administrative Assistant II for its Southwest Regional Office in Sarasota, Florida. This position supports the Special Agent Supervisor and handles administrative and clerical functions.
Responsibilities
- Assisting with answering the main telephone switchboard for the unit
- Receiving and distributing incoming mail and faxes
- Reconciling monthly invoices
- Accepting court subpoenas for law enforcement personnel, logging subpoenas, and distributing them to law enforcement
- Completing monthly fleet reports and submitting reports to headquarters
- Aiding law enforcement personnel with travel by completing travel documents and securing hotel accommodations
- Collecting and entering specific investigative information into tracking documents and reporting the information to headquarters
- Maintaining the filing system
- Assisting law enforcement personnel with special projects assigned by the Special Agent Supervisor
- Coordinating with the Director of Administration and the division's Business Liaison in matters relating to administrative work such as Purchasing, Accounting, Human Resource Management, Property Assets, etc.
- Maintaining a current list of phone numbers for regional office personnel
- Assisting office visitors for the regional office
- Completing receiving paperwork for all purchases
- Conducting or assisting in the annual property inventory for the Division as requested by the Commission's Property Asset Coordinator
- Assisting agents in reconciling fictitious accounts
- Discussing, collaborating, and planning with the Information and Technology unit regarding current and future information technology needs
- Performing other duties as assigned
Qualifications
- Three (3) years of administrative or clerical experience in an office setting
- An associate’s degree from an accredited college or university and one year of administrative or clerical experience in an office setting
The incumbent must be reliable and dependable, possess strong problem-solving and critical thinking skills, excellent time management, and interpersonal and communication skills. They must also be detail-oriented.
