Administrative Assistant I - Medical Oncology
About the role
Provides general office, document preparation and administrative support for an individual, department, office or designated staff group.
Primary Duties & Responsibilities
- Answers phone and greets visitors; responds to inquiries and provides information using established guidelines or refer to appropriate individual.
- Typing correspondence and forms; scanning and faxing documents, making copies, maintaining files (electronic and hard).
- Receiving, sorting and distributing mail.
- Scheduling routine appointments, maintaining office/department calendars and making routine travel arrangements.
- Preparing travel expense reimbursement according to guidelines.
- Performing basic data entry such as invoices and purchase orders; tracking purchases/receipts and processing for payment.
- Entering personnel/payroll information in HR system.
- Maintaining/stocking office, toner, paper and miscellaneous supplies as needed.
- Compiling applications; providing applicant information to faculty; sending correspondence to applicants; answering general questions on program/course.
- Performing other duties as assigned.
Working Conditions
Normal office environment. Ability to travel to various on- and off-campus locations. Physical effort: typically working at desk or table. Repetitive wrist, hand or finger movement. Occasional lifting (25 lbs. or less).
Education
Required Qualifications: High school diploma or equivalent high school certification or combination of education and/or experience.
Preferred Qualifications: Administration and office support (1 year); Administrative (3 years); Adaptability, communication, computer literacy, detail-oriented, interpersonal communication, Microsoft Access, Microsoft Excel, Microsoft Office, Microsoft Outlook, Microsoft PowerPoint, Microsoft Word, multitasking, organizing.
