Administrative Assistant I (Felony)
About the role
The role involves providing clerical support in the maintenance and processing of financial records, including cash receipts and disbursements, accounts receivables/billing, accounts payables/payroll, fixed asset accounting, revenue distribution, and audits eligibility.
Responsibilities
- Fiscal Assistant I: Sorts, batches and files financial, statistical, or fiscal data/records; performs simple arithmetical computations; provides receipts; logs and codes data; verifies signatures; compares data.
- Fiscal Assistant II: Compiles, verifies, and calculates charges; prepares invoices; receives, reviews and verifies claims, invoices, and payroll documents; receives cash, applies credit, balances cash register, forwards deposits; performs posting functions.
- Fiscal Assistant III: Edits daily operational reports; prepares adjustment entries; researches outstanding warrants and claims; prepares journal vouchers; pre-audits work; balances subsidiary ledger totals; prepares reports.
- Fiscal Assistant IV: Coordinates work of others; provides clarification, on-the-job training, recommendations; provides oral and/or written reports; troubleshoots computer system errors; assists supervisor in workload statistics and reports.
Requirements
Some to considerable experience in account maintenance or bookkeeping, with the required knowledge, skills, and abilities acquired through education, training, or experience. Equivalent combinations of education, training, and experience may be substituted for the required experience.
Qualifications
- Fiscal Assistant I: No experience required, but must demonstrate possession of requisite abilities.
- Fiscal Assistant II: Two years of office clerical experience, one of which involved financial, statistical, or fiscal record keeping; or one year as a Fiscal Assistant I.
- Fiscal Assistant III: Three years of experience in financial, statistical, or fiscal record keeping; or one year as a Fiscal Assistant II.
- Fiscal Assistant IV: Four years of experience in financial, statistical, or fiscal record keeping; or one year as a Fiscal Assistant III.
Skills
Knowledge of basic bookkeeping and record keeping principles, practices, and techniques; operating financial accounting system; codes, forms, procedures, rules and regulations applicable to fiscal transactions; department/agency account structure and operational requirements; pre-audit methods and procedures; electronic data processing equipment uses and limitations.
