About The Role

Sentara Norfolk General Hospital is seeking a dedicated Full-time Administrative Assistant I to join the Cardiac Nursing Management team. This role is vital in supporting senior leadership, including at least one Senior Director and additional directors within the department.

The Administrative Assistant will perform a variety of administrative and clerical duties to enhance operational efficiency and ensure smooth communication within the department. The position involves managing schedules, organizing meetings, preparing reports, handling correspondence, and acting as a primary point of contact for internal and external inquiries.

The role requires handling confidential information with discretion and professionalism. Working during the first shift from 7 a.m. to 3:30 p.m., Monday through Friday, the Administrative Assistant will contribute to the overall success of the cardiac care team by providing exceptional administrative support, facilitating effective communication, and ensuring timely completion of tasks.

Qualifications

  • High School Graduate or Equivalent
  • Associate or Bachelor's Degree (Preferred)
  • 4-6 Months Basic Experience with Office or Operational Systems (Required)
  • Strong Microsoft Office Skills (Word, Excel, PowerPoint, Outlook) (Strongly Preferred)
  • Previous Administrative Assistant or Secretary Experience supporting Directors (Strongly Preferred)
  • Excellent Organizational Skills (Strongly Preferred)
  • EPIC Experience (Preferred)
  • Familiarity with Clinical Operations (Strongly Preferred)

Responsibilities

  • Perform a variety of administrative tasks to support department managers and staff, including managing schedules and calendars.
  • Act as the first point of contact for internal and external inquiries, providing professional and courteous communication.
  • Organize and coordinate meetings, including preparing agendas, booking rooms, and distributing materials.
  • Prepare, review, and edit reports, correspondence, and other documents to ensure accuracy and professionalism.
  • Manage and prioritize incoming correspondence and phone calls, ensuring timely responses and follow-up.
  • Handle confidential information with discretion, maintaining privacy and security protocols.
  • Aid in the organization of department files, records, and documentation for easy retrieval and compliance.
  • Collaborate with other administrative staff and departments to streamline processes and improve workflow.
  • Utilize EPIC and other clinical systems to support administrative functions related to cardiac care operations.
