The Administrative Assistant/Office Assistant at Neishloss & Fleming provides essential clerical and operational support to ensure efficient day-to-day office operations. This role supports internal teams, coordinates administrative processes, maintains records, and serves as a key point of contact for internal and external stakeholders.
Primary Responsibilities
- Complete assignments and projects in accordance with supervisor direction and established deadlines
- Provide daily administrative support to the Service Team and other departments as needed
- Perform general office duties to maintain efficient business operations
- Maintain organized documentation and filing systems for accurate recordkeeping and easy retrieval
- Retrieve, save, and properly name various file types from multiple electronic sources
- Prepare and maintain forms, correspondence, memos, reports, and other business documents
- Sort, file, and maintain records in both electronic and physical systems
- Maintain inventory of office supplies for daily use and industry-related events
- Coordinate office needs and serve as a liaison with Accounts Payable for purchasing and expense-related processes
- Coordinate business needs with vendors for internal and external meetings and events
- Operate and maintain office equipment, including computers, copiers, fax machines, and database systems
- Manage incoming and outgoing mail, including distributing correspondence, sending billing, and arranging package shipments and pickups
- Answer, screen, and direct phone calls; take messages and perform outbound calls as needed
- Respond to internal and external requests and inquiries in a timely and professional manner
- Monitor and maintain inventory of office supplies for daily use and industry-related events
- Coordinate office needs and serve as a liaison with Accounts Payable for purchasing and expense-related processes
- Coordinate business needs with vendors for internal and external meetings and events
