About the role
Provide administrative support to production branch personnel.
Responsibilities
- Accept telephone calls for the originator, coordinate appointments, respond to inquiries, and provide updated loan status to real estate agents and borrowers.
- Photocopy documentation supplied by the borrower: income tax returns, paycheck stubs, bank statements, etc.
- Receive, sort, and distribute incoming faxes.
- Provide support to branch by maintaining ongoing communication with client base and real estate agents.
- Perform tasks directly or indirectly related to marketing and advertising.
- Maintain a basic knowledge of computer programs: Symitar, Mortstart, Microsoft Office (Word, Excel, Access), Desktop Underwriter, Microsoft Publisher, and new software as it becomes available or needed.
- Arrange for the pick-up and delivery of documents, brochures, loan packages, and other miscellaneous items as needed.
- Act as receptionist for the company; respond to routine inquiries, assist visitors, or direct them to appropriate individuals, and coordinate appointments as required.
- Receive and transmit messages from callers to the responsible party and from employees to clients.
- Maintain a variety of control and documentation logs and records as necessary; distribute data to other users as required.
- Order, receive, and inventory supplies, materials, and forms; catalog forms, documents, and supplies for inventory control.
- Coordinate all systems and hardware-related issues, functioning as IT liaison.
- Assist VP Mortgage Operations with operations staff located within the production branch.
- Perform other duties as assigned.
Requirements
- High school graduate or equivalent.
- Proficiency in typing and knowledge of office machines.
- Two years of general office experience which includes direct customer contact.
- Math aptitude or one year of experience in a mortgage loan-related field preferred.
- Personal computer skills required and the ability to quickly learn mortgage origination-related programs.
- Self-motivated, resourceful, with good organizational and communication skills.
- Ability to get along well with the public and accomplish assigned tasks with minimal or no supervision within an established time frame.
Qualifications
Tenure requirements:
- Administrative Assistant II (Category 13): Nine months tenure in the Administrative Assistant I (Category 14) position with performance that meets or exceeds expectations.
- Administrative Assistant III (Category 12): One year tenure in the Administrative Assistant II (Category 13) position with performance that meets or exceeds expectations.
Directly related work experience and/or accelerated training completed may be substituted for tenure.
Pay
- Salary Pay Range (Category 12): $53,226 - $81,405 annually
- Salary Pay Range (Category 13): $49,284 - $73,391 annually
- Salary Pay Range (Category 14): $45,633 - $66,624 annually
Starting base salary will be determined based on candidate experience, qualifications, education, and applicable local or state wage requirements. New hire base salaries generally fall between the minimum and midpoint of the listed range.
