About the role

The Administrative Assistant provides comprehensive administrative support to the Student and Academic Success (SAS) division. This role requires a proactive professional capable of handling sensitive, confidential information with the utmost discretion. The ideal candidate possesses effective interpersonal skills, decision-making capabilities, sharp attention to detail, and a demonstrated track record of punctuality and responsiveness with respect to task completion and communication.

Responsibilities

  • Partner with the Director of Operations for Student and Academic Success and other members of SAS under the leadership of the Provost to execute specialized academic projects, including the accurate processing of curriculum forms, workload forms, Purchase Orders (POs), and Employment Request Forms (ERFs).
  • Support scheduling, logistics, and material preparation for Shared Governance Committees and SAS meetings; responsibly record, transcribe, summarize, and distribute comprehensive meeting minutes.
  • Collect, audit, and report weekly attendance data for all full-time and adjunct faculty, ensuring seamless and accurate data submission to Payroll.
  • Assist with alerts and grades by communicating with faculty and Deans and entering information into the College's software programs.
  • Serve as the primary point of contact for the department. Warmly greet visitors, resolve inquiries, and strategically route complex matters to the appropriate personnel.
  • Manage phone extension assignments and adjunct mailboxes.
  • Maintain daily office efficiency by managing correspondence, monitoring inventory, and overseeing the procurement of office supplies and schedule and coordinate meetings.
  • Provide agile administrative coverage and support to other areas of the Student and Academic Success division as operational needs arise on both campuses.
  • Efficiently enter, retrieve, and modify institutional data across enterprise software systems, including Banner, Cognos, CourseDog, Navigate, Zogotech, Degree Works, and Google Suite.
  • Provide dedicated administrative support to the Honors Program.
  • Assist with faculty processes such as evaluations in Explorance Blue and assist with the student suspension process.
  • Execute additional related responsibilities and special projects as assigned by the Director of SAS Operations.

Requirements

  • Two years of experience in office, business, or program administrations, or an equivalent combination of education and experience. Relevant associate's degree or higher degrees may substitute for part/all of the experience requirement.
  • Advanced knowledge of office productivity software (e.g., Microsoft Office Suite, Google Workspace, Adobe Acrobat) and an aptitude for quickly learning institutional databases and reporting tools.
  • High-level productivity with the ability to prioritize competing deadlines in a fast-paced academic environment.
  • Candidates will be required to pass a CORI/SORI and/or National Background Check as a condition of employment.

Preferred Qualifications

  • Experience with Ellucian Banner.
  • Professional administrative/operational experience in higher education.
  • Ability to work independently and as a team member in a fast-paced environment.
  • Willingness to work on campus every day and at both Lynn and Danvers campuses.
  • Spanish language fluency.

Pay

$2,152.54 biweekly ($55,966.04 per year). An appointment made from outside the bargaining unit (AFSCME) must start at this salary, step #1 of the range or as adjusted in accordance with the AFSCME collective bargaining agreement.

Schedule

Monday - Friday; 8:00 am - 4:00 pm
