Job Responsibilities

  • Aid in maintaining information tracking sheets for academics.
  • Assist with scanning documents for academics.
  • Operate a variety of office equipment, including computer, printer, photocopier, scanner, and calculator.
  • Perform audits of faculty and maintain academic hard and electronic files for academic programs.
  • Coordinate live scans and manage all live scan documentation.
  • Update program-specific forms.
  • Support deans/directors in uploading advising, changing student status for graduation, withdrawals, and other records, including scanning & uploading documents to CVUE, Anthology/Power BI, and various other spreadsheets and databases.
  • Attend meetings on behalf of the Dean as delegated and needed.
  • Audit faculty and student files for academic programs and notify appropriate individuals of missing or outdated documentation.
  • Travel to different campuses as needed.
  • Take meeting minutes (including faculty, committee, PAC, Student Rep meetings).
  • Assist with Student and Campus Activities (pinning, graduation, regulatory meetings).
  • Schedule and follow up on hiring interviews.
  • Set up and manage Course Key locations for student clinical rotations.
  • Collect, notify, and manage documents from Faculty and students for clinical rotation compliance.
  • Order and maintain office supplies.
  • Order and manage uniforms each semester for nursing students.
  • Aid in onboarding of new didactic and clinical faculty.

Qualifications

  • High school diploma or equivalent.
  • At least 2 years of administrative experience supporting a team or multiple teams.
  • Ability to maintain records.
  • Proficiency in Microsoft Office 365 (Word, Excel, PowerPoint) and Teams.
  • Ability to shift quickly between tasks and maintain productivity.
  • Effective verbal and written communication skills.
  • Knowledge of medical terminology or relevant health care experience.
