Administrative Assistant (Healthcare Operations)
About the role
The Operations Assistant serves as a key administrative partner within the center, combining strong organizational and office management skills with a passion for supporting children and families in a healthcare and ABA setting. This role is ideal for individuals who enjoy working in a dynamic, client-facing environment and take pride in creating a welcoming and well-organized center.
Responsibilities
- Serve as the first point of contact for families, clients, prospective clients, and staff
- Coordinate and process client referrals
- Troubleshoot client authorizations
- Update and maintain client database and schedule appointments
- Conduct daily audits to ensure data integrity
- Assist with onboarding new team members
- Collaborate with Learning and Development department to deliver annual and ongoing staff training
- Follow all policies and procedures, including but not limited to, HIPAA, confidentiality and mandated reporting standards as set by the clinical team
Requirements
- At least two years experience working in a health care setting, Applied Behavior Analysis preferred
- Bilingual in English and Spanish preferred
- Valid CPR certification preferred
- Knowledge of general health insurance billing preferred
- Strong understanding and comfort in using Microsoft Product Suite - Outlook, Word, Excel
- Ability to bend, kneel, crouch, and spend time on your feet as well as an ability to lift items up to 25 lbs on occasion
Schedule
Center is open 8am-5pm. Must be available Monday-Friday 7:30am-3:30pm or 8:00am-4:00pm, but may sometimes be asked to close 9am-5pm with advanced notice given.
Pay
This is an hourly role and pay is based on experience. Starting rate is $18.00.
