Administrative Assistant, Health Promotion and Wellness

About the role
Performs administrative, clerical and office support responsibilities. Supports assigned leaders, departments and/or units.
Responsibilities
- Performs standard administrative duties in support of the assigned department, division, unit and/or location
- Serves as an administrative resource for all faculty, staff and guests visiting assigned department, division, unit and/or location and provides assistance as needed
- Creates, prepares and proofreads emails, memos, correspondence, reports, and other documents or communications as requested
- Answers office phone providing information and/or transferring/redirecting calls to the appropriate contact
- Coordinates and schedules departmental meetings and events, as directed; secures space, equipment, food, and assists with the event as needed
- Manages all incoming and outgoing mail including UPS, FedEx and DHL domestic and international shipping needs for the office
- Monitors and assesses office equipment, stationery and supply needs and orders items as needed, including seeking proper authorization for items requiring prior approval
- Assists with records management including filing, correspondence, analyzing data, tracking and archiving files
- May maintain department purchasing card (PCard), cash and/or credit card
- Provides administrative support for departmental budget, purchasing, contract, travel, scheduling, and operational processes in accordance with University policies and procedures
- Coordinates cooking demonstration programming by scheduling chefs, managing registrations, and processing related quotes and invoices
- Manages departmental activity setup and administration in University systems, including EMS, Owl Life, and KSU Marketplace
- Maintains departmental compliance and operational records, including chemical inventories in Campus Optics and equipment inventories as assigned
- Coordinates onboarding activities for new department personnel and supervises and coordinates student assistants to ensure effective office operations on the Kennesaw and Marietta campuses
- Supports Nutrition Services operations by scheduling nutrition counseling appointments through the Point and Click electronic medical records system
Requirements
- High School diploma or equivalent
- One (1) year of related administrative, office or clerical experience
Preferred Qualifications
- Experience providing administrative support for large teams
- Previous experience in higher education
- An undergraduate or advanced degree from an accredited institution of higher education in a related field
Skills
- Knowledge of or ability to learn specialized University systems used to support departmental operations, including event management, registration, compliance, and record-keeping systems
- Able to recognize and protect confidential information and exercise judgment, tact, and diplomacy in handling sensitive information and situations
- Able to successfully interact with a community comprised of individuals and groups from an array of backgrounds, experiences, and communication styles
- Able to work as a contributing member in a team-oriented environment, successfully interacting with internal and external colleagues and partners
- Able to learn and adapt to new technologies, systems, and processes
- Excellent interpersonal, initiative, teamwork, problem solving, independent judgment, organization, communication (verbal and written), time management, project management and presentation skills
- Proficient with computer applications and programs associated with the position (i.e. Microsoft Office suite)
- Strong attention to detail and follow-up skills
- Strong customer service skills and phone and e-mail etiquette
- Able to utilize standard office equipment and multi-line telephone system
- Able to deal with multiple tasks or projects at one time meeting assigned deadlines
- Able to work varied schedule or overtime based on business needs
Pay
The salary range for this position is $16.13 to $19.45 per hour. Offers are based on relevant experience.
