About the role

We are seeking a highly organized and detail-oriented Administrative Assistant to support the Graduate Medical Education (GME) Program at Memorial Health University Medical Center, part of HCA Healthcare. This role provides comprehensive administrative support to the GME leadership team, program directors, faculty, residents, and fellows in a fast-paced academic healthcare environment.

Responsibilities

  • Provide administrative support to GME leadership, program directors, coordinators, and trainees.
  • Coordinate meetings, schedules, educational conferences, and special events.
  • Prepare correspondence, reports, meeting agendas, minutes, and presentation materials.
  • Maintain accurate resident, faculty, and program records in accordance with Accreditation Council for Graduate Medical Education (ACGECME) requirements.
  • Assist with onboarding, orientation, credentialing, and graduation activities for residents and fellows.
  • Manage calendars, travel arrangements, and departmental communications.
  • Monitor and maintain office supplies, equipment, and departmental files.
  • Support recruitment activities, including interview scheduling and candidate communication.
  • Ensure confidentiality of sensitive employee, resident, and organizational information.
  • Assist with data entry, tracking, and reporting for accreditation and compliance purposes.
  • Collaborate with internal departments and external partners to support educational initiatives and program operations.

Requirements

  • High school diploma or GED required.
  • Minimum of 2 years of administrative support experience required; healthcare administrative experience preferred.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Strong organizational, time management, and multitasking skills.
  • Excellent verbal and written communication skills.
  • Ability to maintain confidentiality and exercise sound judgment.
