About the role

The Administrative Assistant for the Brain Health Network serves as the primary resource for departmental office coordination and administrative support. The role focuses on supporting day-to-day operational functions, operational coordination activities, patient communication/assistance, and office administration needs.

Responsibilities

  • Provides administrative support, including maintaining calendars, coordinating meetings and conference-room schedules, preparing correspondence, maintaining files and records, and supporting departmental communications and workflow coordination. 35% of time
  • Supports operational coordination activities by coordinating hiring, onboarding, training, and reappointment processes; assists with new-hire onboarding meetings, communicates required documentation, maintains confidential employee records, and supports operational communication. 25% of time
  • Coordinates general office operations: ordering and maintaining office supplies, monitoring office equipment and operational needs, processing invoices, travel documentation, reimbursements, and other routine administrative functions. 25% of time
  • Coordinates Brain Health Center desk coverage and scheduling by collaborating with students, staff, and volunteers to ensure front-desk support during operational hours; maintains coverage schedules, communicates updates, assists with training coordination, and serves as a point of contact for routine operational and customer-service matters. 10% of time
  • Performs other duties as assigned; serves as an active member of the department team. 5% of time

Requirements

  • High school diploma or GED
  • Three or more years of job-related experience
  • Excellent writing and editing skills
  • Proficiency with Microsoft 365
  • Ability to work independently and collaboratively on a multidisciplinary team
  • Strong organizational skills and ability to manage multiple concurrent tasks while maintaining confidentiality
  • Commitment to conducting business lawfully and ethically by adhering to compliance policies, procedures, and regulations

Preferred Qualifications

  • At least three years of combined direct experience in administrative coordination, office administration, personnel coordination, customer service, and/or operational support functions

Pay

Anticipated hiring range: $44,296 – $64,229 per year.

Schedule

  • Full-time (40 hours per week)
  • Standard working schedule: 8:30 a.m. – 5:00 p.m.
  • Must be willing to work a flexible schedule to meet the needs of the department
