About the Role

The Program Coordinator is under the limited supervision of the Program Manager and serves as the lead coordinator for patient support and front-end administrative operations within the Brain Health Network. The position exists to guide daily workflow execution, reinforce operational standards, and support staff performance to ensure efficient, accurate, and compliant patient services. The primary goal of the role is to coordinate referral, scheduling, and intake processes while providing first-line leadership and operational guidance within established program policies and procedures. To demonstrate commitment to conducting business lawfully and ethically by consistently adhering to compliance policies, procedures, and regulations.

Responsibilities

  • Guide daily workflow execution and reinforce operational standards
  • Support staff performance to ensure efficient, accurate, and compliant patient services
  • Coordinate referral, scheduling, and intake processes
  • Provide first-line leadership and operational guidance within established program policies and procedures

Requirements

  • Excellent verbal and written communication skills
  • Organizational and administrative management skills
  • Customer service and conflict resolution skills
  • Knowledge of Epic or comparable EMR systems
  • Ability to evaluate, develop, and implement new workflows and processes
  • Ability to oversee multiple administrative and patient support functions simultaneously
  • Ability to ensure accuracy, consistency, and quality in patient-facing processes
  • Demonstrated experience working with an EMR system
  • Proven ability to train staff, manage workflows, and support daily administrative operations
  • Ability to handle sensitive information with discretion and professionalism

Preferred Qualifications

  • Advanced proficiency with Epic or similar EMR systems
  • Working knowledge of patient registration, insurance verification, referrals, and authorization processes
  • Familiarity with HIPAA requirements and medical records management standards
  • Prior experience leading or supporting patient support services, front desk, or administrative healthcare teams
  • At least 1 year of experience in a lead, supervisory, or training role
