Administrative Assistant & Events Coordinator
About the role
The Sr. Administrative Assistant will support the Commercial Services America's team, including 1 SVP, 3 VPs, and 1 RVP. Key responsibilities include managing calendars, booking travel, reconciling expense reports, processing invoices, and facilitating reports. They will also support organization and execution of internal meetings, presentation decks, room contracting, and onsite activation. Additionally, they will oversee user administration, maintain the admin dashboard, ensure accurate user access and licensing, and provide ongoing support to maximize platform adoption and effectiveness. They will serve as the corporate liaison for the Field Leadership Council, coordinating and supporting council initiatives, facilitating communication between corporate and field teams, and managing the planning and execution of the annual in-person meeting and year-round virtual meetings.
Responsibilities
- Manage active calendars, coordinate meetings and travel, update calendar with colleagues' birthdates and milestone anniversaries.
- Manage the enterprise partnership support relationship.
- Data organization—experience with spreadsheets, dashboards, and basic analytics.
- Complete duties/projects as assigned.
- Reconcile expense reports, process invoices, manage vendor relationships, and utilize outside resources.
- Serve as the corporate liaison for the Field Leadership Council.
- Participate in special initiatives and cross-functional projects.
Qualifications
- Experience: 2+ years’ administrative experience, HS Diploma required, some college coursework preferred.
- Skills: Proven ability to project a professional image, good judgment and critical thinking, ability to manage multiple, and at times competing, projects, proficiency in all Microsoft Office products, AI tools such as ChatGPT, Copilot, Gemini, etc.

The position is eligible for a salary range of $52,000 - $65,000, with the final pay rate/salary determined by experience, skill level, and other qualifications for the role, as well as the location of the performance of work.
