About the role
The Administrative Assistant supports the Child Welfare Program, which offers transitional housing and community-based housing for DCFS participants aged 17½ to 21. The program aims to prepare participants for independent living through a range of services.
Responsibilities
- Handle information requests and manage intake processes
- Organize documents, billing, and arrange conference calls
- Respond to youth, staff, agency, DCFS, and community partner correspondences
- Aid in the preparation and submission of applications for various services
- Maintain Participant files and ensure all materials are up to date and accessible
- Coordinate the creation and distribution of Participant handbooks and program manuals
- Monitor Participant schedules and appointments
- Assist with logistics for events and meetings
- Take detailed notes at meetings and distribute minutes
- Support the Child Welfare Director with meeting coordination
- Perform other duties as assigned
Requirements
- Demonstrated experience with high-level administrative support
- Excellent communication skills, fluency in written and spoken English, Spanish preferred
- Strong attention to detail and ability to prioritize tasks
- Proficiency in Microsoft Office applications
- High school diploma with 2 years of administrative experience
- Pass background checks
