Shift/Location: Monday–Friday office hours, Downtown Oklahoma City
About the Role
Under general supervision, responsible for administrative duties that keep day-to-day business operations on track. Positions are available at Level 1 or Level 2, depending on experience and education.
Responsibilities
- Performs various complex technical and clerical functions in support of departmental staff.
- Prepares and maintains a variety of records, files, and documents, including confidential information.
- Gathers information and develops summaries.
- Assists with documenting the development of the department budget and operational plans.
- Recommends changes to office procedures to improve processes and provide better support.
- Reviews and proofs documents, records, and forms for accuracy and completeness.
- Arranges and schedules meetings and conferences.
- Performs receptionist duties: greeting visitors, determining their needs, routing customers, arranging appointments, and assisting with phone calls.
- Directs services such as maintenance, repair, supplies, mail, and files.
- Assists in training employees on office equipment and procedures.
- Maintains confidentiality of information.
- Assists other staff as necessary.
- Performs other duties as assigned.
Requirements
Level 1
- Associate’s degree required.
- 0–3 years of Administrative Assistant experience.
Level 2
- Bachelor’s degree required.
- 3–5 years of Administrative Assistant experience.
Skills
- Basic knowledge of office procedures and equipment.
- Basic knowledge of accounting principles, including arithmetic skills (multiplication, division, percentages).
- Good written communication skills, including spelling, grammar, and punctuation.
- Strong interpersonal skills for interaction with employees, clients, and customers.
- Basic computer skills with some spreadsheet knowledge.
- Ability to maintain and handle confidential information appropriately.
- Typing/keyboarding skills sufficient to meet job requirements.
