Job Description
The Bilingual Administrative Assistant will offer back-of-the-house, general administrative and operations support and act as a key liaison between Agricultural, Production, Office, and Hospitality Teams.
- Support the Administrative Manager, Payroll & HR Administrator, and Accounts Payable / Accounts Receivable Administrator, Production Manager, and Marketing & Sales Manager with general administrative duties including but not limited to:
- Providing exemplary customer service, answering phones, taking messages
- Taking, processing, following up on orders; packing and shipping as needed
- Creating and maintaining paper and electronic files; moving to electronic as able
- Affirm compliance regarding Organic Certifications via OTCO (Oregon Tilth Certified Organics) including any paperwork, renewals, and annual inspections
- HR support including new hire on-boarding, processing, filing and follow-ups
- Payroll support
- Accounts Receivable support
- Accounts Payable support
- Tracking sales data (creates spreadsheets)
- Bilingual (Spanish/English) liaison between Agricultural, Production, Office, and Hospitality Teams, including:
- Facilitating trainings
- HR meetings
- Written translations of documents
- Maintaining inventory, production logs & compliance paperwork
- Assist the Custom Milling Coordinator with seasonal (esp. October-January) harvest duties:
- Scheduling custom olive milling olive drop off appointments and olive oil pickups
- Assisting clients with contracts and compliance paperwork
- Invoicing and managing payments for services
- Maintaining paper and digital files
- Cook up and support activities involved in the implementation and set up of events
- Special projects and other duties and responsibilities as needed and/or assigned
Qualifications
- Bilingual English/Spanish essential
- Minimum 1 year experience in administrative role
- BA in business, sales, marketing or similar; or equivalent relevant experience
- Highly organized and efficient; excellent time management and organization skills
- Detail oriented; ability to prioritize, efficiency with process, and attention to detail and accuracy of work
- Excellent oral and written communication skills
- Ability to maintain confidentiality and ethical handling of sensitive information
- Ability to work both independently and with a team
- Versatility, flexibility and ability to adapt in an evolving work environment with enthusiasm
- Must have a valid driver’s license and be insurable under GROF's insurance
Desired Skills
- Intermediate skills in MS Office (Excel, Outlook, Word, PowerPoint) and Google Docs
- Experience with Mac OSX
- Ability to operate front end and back end of POS and e-commerce systems such as Square and/or Shopify
- Intermediate math skills
- Ability to engage with the public in personable, approachable manner
- Experience with HR & labor law compliance
- Experience with and/or passion for organic farming, gourmet foods and organic products
Work Environment

- Ability to work in a standard office setting and to use standard office equipment, including a computer, and to travel and attend events at various sites
- Strength to lift and carry materials weighing up to 25 pounds
- Position includes extensive standing and walking, and considerable bending
- Ability to work a flexible schedule including occasional weekends
Compensation
This position is: hourly, $20/hr +
