Administrative Assistant
Job Summary
The Administrative Assistant will support the Network and Legally Exempt Enrollment programs. Duties include assisting with provider and parent intake, responding to inquiries, developing and distributing materials, data entry, follow-up, and other tasks to ensure service delivery. Additionally, the Administrative Assistant will support outreach activities and perform clerical support duties.
Responsibilities
- Enter all data in Sofcare and Planstreet including attendance, ASQ, intake information and follow up data as assigned.
- Index files into Doc Star.
- Generate reports for Family Childcare Network Director and other program managers as needed.
- Collaborate and maintain relationships with parents and childcare providers as needed.
- Professionally communicate with childcare providers and parents on program updates, training, events, Answer general queries via telephone, email and in person.
- Maintain and update program files, databases, etc.
- Perform other offices duties as necessary. Photocopy, answer phone calls, retrieve voicemails, etc.
Qualifications
- Bachelor's Degree preferred.
- Bi-lingual (English & Spanish) required.
- Familiarity with home-based childcare provider population.
- Computer proficiency – Microsoft Office Suite, Internet Research, etc.
- Strong communication skills.
- Excellent, proven organizational ability and outstanding attention to detail.
- Creative problem-solving skills.
- Ability and willingness to interact with a diverse group of people and establish positive and healthy working relationships.
