Administrative Assistant
Position Overview
The Administrative Assistant is the first face clients and guests encounter at Trailhead Financial Group. This role is based primarily out of our Hendersonville, NC office, with regular presence in our Asheville location one to two days per week (or more if client needs dictate) alongside the full advisory team. You will support the Trailhead Financial Group client needs across both locations, serve as a key operational anchor for day-to-day office functions, and provide administrative support to our Wealth Advisors and Founder.
Compensation and Benefits
Compensation for this role is $18-22/hr dependent upon experience. PTO provided. No medical or dental benefits.
Position Roles/Responsibilities/Accountabilities
Serve as the primary point of welcome for all clients and visitors to both the Hendersonville and Asheville locations
Greet and direct clients for multiple advisors in a professional, warm manner
Represent Trailhead Financial Group as one of the recognizable faces of the organization at events and in the office
Manage daily opening and closing procedures for the Hendersonville office; support Asheville office operations during scheduled weekly visits
Maintain the overall appearance, organization, and readiness of the shared office space
Monitor advisor schedules and calendars — proactively flag conflicts, gaps, or scheduling concerns to leadership (scheduling decisions remain with the advisor team)
Answer and professionally route all inbound calls
Make outbound calls as directed by the advisor team or executive assistant
Receive, sort, and distribute incoming mail
Scan and digitally file documents with accuracy and attention to detail
Draft, format, and send emails on behalf of the team as requested
Support Executive Assistant with administrative tasks and serve as coverage during her absence
Aid Marketing Director with social media posting and content coordination as needed
Represent TFG at select company events and client-facing functions
Position Qualifications
Exceptional interpersonal and communication skills — both written and verbal
Professional, polished appearance and demeanor consistent with a client-facing financial services environment
Strong organizational skills with the ability to manage multiple priorities simultaneously
Proficiency with Microsoft Office Suite (Outlook, Word, Excel) and general comfort with technology
Reliable, punctual, and detail-oriented with a proactive approach to problem-solving
Prior experience in a receptionist, front-desk, or administrative support role
Familiarity with financial services, wealth management, or professional services environments (preferred)
Experience with calendar management tools and CRM platforms (preferred)
Social media literacy (LinkedIn, Facebook, Instagram) for light content posting support (preferred)
Notary Public preferred (or willing to obtain in first 90-days of employment)
