About the role
The Administrative Assistant supports the Marshal’s Department by handling administrative duties, including permitting, licensing, records management, and evidence tasks.
Responsibilities
- Process parking permits, dog licenses, and bicycle licenses.
- Determine completeness and eligibility of permit applications.
- Maintain accuracy of permitting software and ensure permits are available for renewal.
- Evaluate and recommend improvements to permitting processes and software for better user experience.
- Review parking garage citation notices for accuracy and audit collection notices.
- Answer questions and guide customers through the parking permit process.
- Process releases for towed and booted vehicles.
- Collaborate on the issuance of building parking permits.
- Assist with records and evidence management duties.
- Process Marshal Department invoice orders and revenues.
- Perform general administrative tasks such as data entry, retrieval, and file maintenance.
- Enter and retrieve data from the records management program.
- Maintain and order office supplies.
- Provide information about the Marshal’s Department to the public, other departments, and agencies.
- Assist the public by phone and in person with complaints and requests.
- Maintain Lost and Found records.
- Work safely to avoid accidents and participate in Town-sponsored cybersecurity training.
- Complete other tasks and special projects as assigned.
Requirements
- High school diploma or equivalent.
- One (1) year of experience in an administrative field.
- Colorado Certified Records Technician Certification (CCRT) preferred or ability to obtain within one (1) year.
Skills
- Intermediate to advanced skills in Microsoft Office.
- Knowledge of business correspondence techniques.
- Proficiency in using office equipment, including computers and printers.
- Strong interpersonal skills to exercise tact and courtesy with frequent public, staff, and external contacts.
Work Environment
- Work is performed primarily in a standard office environment and in and around the Town’s buildings and facilities.
- May occasionally be required to lift and/or move items weighing up to 20 pounds.
- Often required to sit for extended periods of time.
