About the role

The Administrative Assistant provides confidential administrative, clerical, communication, and program support to ensure the effective daily operation of the Corps. Serve as a welcoming first point of contact for clients, volunteers, corps members, donors and community partners, while supporting the Corps Officer(s) with administrative support, records, reports, events, and programs.

Responsibilities

  • Provide administrate support to Corps Officer(s), including meeting preparation, correspondence, bid processing, filing and follow up on assigned tasks.
  • Provide direct support of programs, including Red Kettles, seasonal events, and fundraising events.
  • Answer and direct incoming phone calls, emails, visitors, and general inquiries in a professional, courteous, and mission focused manner.
  • Prepare, proofread, and distribute correspondence, reports, forms, meeting materials, and other communications as directed.
  • Maintain accurate records, files, directories, calendars, program lists, statistical reports, volunteer documentation, and other administrative records in accordance with organizational procedures.
  • Coordinate volunteer coordination by assisting with Golden Software applications, training documentation, scheduling, communication, and required compliance process.
  • Aid in office supply inventory, purchase requests, track routine office needs, and help maintain organized office and reception areas.
  • Assist with client, donor and community partner communications while maintaining confidentiality and appropriate professional boundaries.
  • Aid in basic financial and operational processing invoices or assisting with records for the Corps Officer/Office Manager or regional bookkeeper.
  • Attend all staff meetings, community meetings and trainings to record minutes.

Requirements

  • High school diploma or equivalent required; additional coursework or training in office administration, business, nonprofit administration, or a related field preferred.
  • Two years of administrative, clerical, office support, ministry support, nonprofit, or customer service experience OR Any equivalent combination of training and experience which provides the required knowledge, skills, and abilities.

Qualifications

  • Strong written and verbal communication skills.
  • Ability to work independently and manage multiple tasks simultaneously.
  • Proficiency in Microsoft Office Suite.
  • Excellent organizational and attention to detail skills.

Pay

The starting salary range for this position is $18.00 - $22.00 per hour.

Schedule

The Administrative Assistant works Monday through Friday from 9:00 AM to 5:00 PM.
