Key Responsibilities
- Answer and route phone calls, emails, and inquiries promptly and professionally.
- Serve as the first point of contact for visitors to the office site, manage visitor registration system and tracking.
- Aid with travel arrangements and expense reimbursements.
- Support meeting logistics, including conference room management, room setup and materials.
- Generate weekly reporting.
- Aid with project coordination and follow-up on action items.
- Support internal communications and company events.
- Ensure general office organization and maintain office supplies.
Human Resources Support
- Aid with recruitment activities, including pre-interview screening and scheduling interviews.
- Aid with new-hire onboarding activities, prepare materials, and ensure completion of required documentation.
- Track and update information across systems, ensuring employee records and hiring data remain current and organized.
- Maintain accurate and confidential employee records, both digital and physical.
- Help plan employee engagement activities, trainings, and company events.
- Absorb compliance with company policies and assist with policy updates.
Qualifications
- 2+ years of administrative experience required; HR support experience preferred.
- Strong organizational and time-management skills with the ability to prioritize tasks.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Ability to handle sensitive information with discretion and professionalism.
- Strong interpersonal skills and a customer-service mindset.
- Comfort with learning new software and office tools.
- Familiarity with Workday preferred.
