Position Overview

We are seeking a professional, friendly, and customer-focused Front Desk Administrative Assistant to serve as the first point of contact for visitors, clients, vendors, and employees. This role is ideal for someone who enjoys creating a welcoming experience, thrives in a fast-paced office environment, and can balance front desk responsibilities with operational and administrative support.

Key Responsibilities

  • Greet and direct all visitors with professionalism, enthusiasm, and courtesy.
  • Create a positive first impression for clients, vendors, job candidates, and guests.
  • Notify employees when visitors arrive and assist with building access when required.
  • Manage visitor sign-in procedures, badging, and visitor records.
  • Maintain a clean, organized, and professional reception area.
  • Provide a white-glove guest experience by offering refreshments and assistance when appropriate.
  • Establish and maintain strong working relationships with clients, vendors, contractors, and building personnel.
  • Cook up to coordinate meeting room reservations and assist with event logistics.
  • Support office operations including shipping and receiving, mailroom, printer, and copy services.
  • Order and maintain office and guest supplies as needed.
  • Conduct visual inspections of conference rooms, guest areas, and supply spaces to ensure readiness.
  • Provide administrative support to office personnel and other departments as requested.
  • Maintain reception schedules and ensure front desk coverage at all times.
  • Identify operational issues and communicate solutions to office leadership.
  • Serve as a liaison with property management and building services.
  • Coordinate maintenance requests, including heating/cooling issues, lighting, carpet cleaning, and general office needs.
  • Maintain updated vendor and building contact information, including security and engineering contacts.

Qualifications

  • Required Experience:
    • 1–3 years of experience in one or more of the following: Front desk or reception support, Administrative assistance, Shipping and receiving, Mailroom operations, Printer and copy services, Guest services or hospitality support, General office operations.
  • Desired Skills:
    • Friendly, professional demeanor and positive attitude.
    • Exceptional customer service and white-glove service mindset.
    • Strong attention to detail and organizational skills.
    • Experience interacting with executives, clients, and vendors.
    • Excellent written and verbal communication skills.
    • Able to multitask and prioritize in a busy office environment.
    • Dependable and flexible with changing business needs.
    • Proficient with standard office technology and administrative tools.

Job Type & Location

This is a Contract position based out of Chicago, IL.

Pay And Benefits

The pay range for this position is $21.00 - $25.00/hr.
