About the Role
Performs a variety of clerical and service functions to support the efficient operation of the division.
Responsibilities
- Provide service for incoming calls, visitors, and correspondence to the Aerostar office.
- Perform administrative functions such as creating documents, handling mail, ordering supplies, accepting deliveries, notary service, preparing expense reports, and maintaining filing.
- Coordinate meeting arrangements.
- Perform various routine administrative tasks for the leadership team.
- Assist with projects within Aerostar.
- Depending on role, coordinate the collection, storage, and distribution of marketing materials.
- Assist with event planning and logistics.
- Assist with facilities management, including coordinating with vendors and service providers.
- Coordinate maintenance and parking with building management company.
- Flex hours to support special events and occasional overtime.
- Demonstrate the Aerostar values in daily actions.
- Maintain a clean and safe work area.
- Follow established safety and ergonomic standards.
- May be called upon to perform comparable duties of a similar or related nature and/or assist in other areas as needed.
- Learn, understand, continuously improve, and promote Aerostar’s quality management system in accordance with ISO standards.
Requirements
- High school diploma or equivalent education.
- Minimum 2 years related administrative experience is preferred.
- Exceptional oral and written communication, and customer service skills.
- Proficient with computers, including Microsoft Office programs.
- Strong organizational and problem-solving skills.
- Ability to be flexible and multitask.
- Team player who is self-motivated and has the ability to work with minimal supervision.
- Ability to communicate effectively with team members and leadership staff.
- Minimal travel may be required.
- Annual Motor Vehicle Record (MVR) check required (refer to Aerostar Vehicle Operations Policy for guidelines).

- Working Conditions: Exposure to a normal office environment. Position may occasionally require entering a production environment, including exposure to noise, moving machinery, and varied temperatures.
