About the role

ScottMadden is seeking an administrative assistant to provide support to assigned partners and internal teams, coordinating day-to-day activities and maintaining smooth operations.

Responsibilities

  • Provide day-to-day administrative support, including calendar management, meeting coordination, and request fulfillment.
  • Prepare and reconcile detailed expense reports with high accuracy, ensuring compliance with company policies and deadlines.
  • Support project closeout and client data retention activities, handling files securely according to firm policies.
  • Coordinate travel arrangements, meetings, and external vendor support.
  • Organize and maintain files, records, and documentation in cloud-based systems.
  • Manage office supply inventory and liaise with vendors for efficient operations.
  • Track deadlines, approvals, and recurring activities to ensure timely completion of tasks.
  • Serve as a point of contact for routine administrative matters and support internal communications.
  • Support established processes to enhance organization and workflow efficiency.

Qualifications

  • High school diploma required, bachelor’s degree preferred.
  • Three to five years of experience as administrative support in a professional services or corporate environment.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint), with experience in Microsoft Dynamics 365 preferred.
