Key Responsibilities
- Maintain and track Fact Witness subpoenas for Grand Jury proceedings, hearings, and trials, including calendaring and coordination with AUSAs and legal support staff.
- Meet with Fact Witnesses to complete required paperwork and collect receipts and supporting documents for reimbursement.
- Monitor the weekly Grand Jury schedule to ensure all subpoenas are received, logged, and processed.
- Communicate regularly with Criminal Division AUSAs and support staff to obtain up-to-date information on case status, witness needs, and upcoming court events.
- Scan, file, and process Fact Witness vouchers while maintaining accurate records and organized filing systems.
- Troubleshoot travel voucher issues and coordinate with appropriate staff to resolve payment or processing concerns.
- Secure travel and lodging reservations for Fact Witnesses at government rates when available; contact witnesses to gather travel information and communicate finalized arrangements to AUSAs.
- Prepare Fact Witness vouchers for expense reimbursement and assist with reconciliation of Fact Witness travel credit card accounts.
- Pull documentation required for monthly reconciliation; reconcile credit transactions and resolve discrepancies associated with travel or reimbursement accounts.
- Support trial teams with witness-related coordination and assist with coordinating trial preparation meetings, maintaining trial calendars, and updating spreadsheets.
- Establish and maintain working files containing correspondence, reports, and records pertinent to cases.
- Develop and maintain tracking systems for ongoing cases; keep program specialists informed of case progress and upcoming deadlines; manage calendars for hearings, trial dates, and sentencing dates.
- Produce a wide variety of written documents using multiple office software applications, integrating outputs into complex tables, charts, and graphs.
- Ensure proper formatting, data accuracy, and correct spelling, punctuation, and grammar in all written materials.
Qualifications
- Sufficient experience, education, training, and skills to satisfactorily perform the duties described above; specialized experience in witness management, victim services, or legal/administrative support strongly preferred.
- Proficiency in MS Word, MS Excel, MS Outlook, MS Access, other databases, and Adobe Acrobat Professional.
- Strong communication skills, with the ability to work and interact professionally and effectively with all levels of staff.
- Ability to meet established deadlines and work as a team player in a professional office environment.
- Skill in meeting and dealing with people in a courteous and tactful manner.
- Ability to review a wide variety of legal and non-legal documents, including Motions and Briefs.
