Primary Duties & Responsibilities

  • Handle interoffice/departmental communications, correspondence, word processing duties & Residential Office tasks.
  • Provide phone coverage, oversee all-call announcements, manage departmental mail, packages, student discretionary funds, emails, etc.
  • Support staffing coverage for dormitory shifts; assist with scheduling & troubleshooting coverage needs.
  • Aid in preparing & maintaining the Residential Whiteboard & Coverage Needs.
  • Enter data into the Residential Office’s/Riverview’s databases & designated programs.
  • Prepare schedules & sign-in sheets for residential orientation & in-services.
  • Assist Residential Office Manager with recruitment tasks (initial contact/phone screen, interview coordination, reference checks, job fairs/open houses, onboarding packets, etc.).
  • Adequately meet deadlines & adapt to changing priorities.
  • Cook up visiting student welcome packets & signage.
  • Maintain departmental filing & organization of records.
  • Aid in the ordering & tracking of supplies.
  • Track inventory, organize & order from vendors, Helmsman & Maintenance.
  • Aid in the development of orientation & closedown materials & packets.
  • Aid in Missing Student & Lockdown Procedures; management of emergency supplies & assistance with Emergency Staffing Plans as needed.
  • Show flexibility to communicate & work collaboratively with other administrative staff & support & assist other colleagues or departments as needed.
  • Assure that safety policies & procedures are always followed.
  • Develop & maintain organized & efficient office systems & recommend improvements to existing procedures.
  • Show ownership, self-initiation & follow-through of duties & responsibilities.
  • Promote teamwork & positive morale among all staff & departments.
  • Process & follow up on verbal or written communication in a timely & effective manner, always mindful of confidentiality.
  • Prepare chaperone books as needed with phones & keys.

Requirements

  • Valid Driver's License
  • Legal authorization to work in the US
  • Suitable background check (CORI, SORI, DCF) & fingerprinting
  • CPR certified or ability to obtain within 6 months of hire
  • Ability to navigate a large campus with extended walking distances; climbing stairs
  • Ability to lift & carry weight (ex: packages/other) up to 25lbs
