Revolution Group is seeking a friendly, professional, and highly organized Administrative Assistant to serve as a key client-facing team member. This role is the welcoming face and voice of the firm, ensuring every interaction is warm, professional, and positive while providing essential administrative and client-service support.

About the Role

As the first point of contact for clients and prospective clients, you will answer phones, greet visitors, assist with scheduling, and support advisors and the team with account paperwork, client onboarding, documentation, CRM updates, and day-to-day office coordination. The ideal candidate is personable, detail-oriented, and thrives in a fast-paced, team-based environment.

Responsibilities

  • Client Service & Phone Support
    • Answer incoming phone calls in a warm, friendly, and professional manner.
    • Serve as an initial point of contact for clients, prospective clients, vendors, and other callers.
    • Direct calls and questions to the appropriate team member.
    • Take messages and ensure appropriate follow-up occurs.
    • Greet clients and visitors, creating a welcoming and professional office environment.
    • Respond to routine client requests and questions by phone, email, and in person.
    • Maintain professionalism and confidentiality when handling sensitive client information.
  • Client Support & Account Administration
    • Assist with new client onboarding and account-opening processes.
    • Prepare, process, and track client account paperwork and required documentation.
    • Assist with Schwab account paperwork and other custodian-related requests.
    • Coordinate signatures, follow-ups, and outstanding items to keep client requests moving.
    • Assist with account transfers, contributions, withdrawals, distributions, beneficiary changes, and other account-service requests.
    • Coordinate with custodians, financial institutions, and other third parties as needed.
    • Monitor the status of client requests and follow up until completion.
    • Maintain accurate and complete client records.
  • Client Meetings & Scheduling
    • Schedule and confirm client meetings and calls.
    • Manage calendars and meeting logistics.
    • Prepare client files, documents, statements, reports, and other materials needed for meetings.
    • Ensure conference rooms and meeting spaces are prepared and professional.
    • Assist with meeting follow-up and documentation.
    • Coordinate internal schedules and help the team stay organized.
  • Private & Alternative Investment Support
    • Assist with administrative processes related to private investments and alternative investments.
    • Prepare and coordinate subscription documents and related paperwork.
    • Assist with capital call documentation and funding requirements.
    • Track signatures, documents, funding, and outstanding items.
    • Maintain organized records related to private investments.
    • Communicate with clients and internal team members regarding outstanding items.
  • CRM & Document Management
    • Maintain accurate client information in the firm’s CRM.
    • Enter and update client information, activities, notes, and documentation.
    • Maintain organized electronic client files and records.
    • Upload and properly file client documents.
    • Assist with DocuSign and electronic document workflows.
    • Ensure client records remain accurate, complete, and organized.
    • Follow established procedures for documentation and recordkeeping.
  • Office & Administrative Support
    • Provide administrative support to advisors and the broader team.
    • Manage general office needs, supplies, and ordering.
    • Coordinate office vendors and service providers as needed.
    • Maintain an organized and professional office environment.
    • Assist with mail, scanning, copying, filing, shipping, and other administrative tasks.
    • Coordinate office meetings and internal events.
    • Support special projects and other administrative needs as they arise.

Requirements

  • 3+ years of experience in an administrative, client-service, office-support, reception, financial-services, or similar professional role.
  • Warm, friendly, and professional personality with excellent phone presence and communication skills.
  • Exceptional organization, attention to detail, and follow-through.
  • Comfortable interacting with clients and professionals at all levels.
  • Ability to learn and use technology and new software systems.
  • Dependable, punctual, and professional with strong discretion handling confidential information.
  • Ability to work independently while being a strong team player.
  • Ability to prioritize work and meet deadlines in a fast-paced environment.
  • Genuine desire to help others and provide excellent client service.

Qualifications (Preferred)

  • Experience in financial services, wealth management, banking, insurance, accounting, or another professional-services environment.
  • Experience working with Schwab or another investment custodian.
  • Experience with financial-services CRM systems such as Redtail.
  • Experience with DocuSign and electronic document-management systems.
  • Experience processing account applications, transfers, contributions, withdrawals, or other financial account paperwork.
  • Experience with private investments or alternative investment documentation.
  • Notary Public certification is a plus.
