Overview

Consider joining the Pennex family as an Administrative Assistant at our Leetonia location. The Administrative Assistant is an administrative professional who provides comprehensive support.

Responsibilities

  • Ensure a positive first impression for visitors and candidates by maintaining the reception, common areas, and lobby of the Leetonia office.
  • Represent the company by maintaining a welcoming, professional presence that reflects our values of caring, integrity, safety and growth.
  • Register visitors and guests in a professional and courteous manner, ensuring that safety protocol is met and PPE is provided as needed.
  • Answer phone calls and direct callers to the appropriate personnel by maintaining current phone lists.
  • Provide administrative support including:
    • Scheduling meetings
    • Account reconciliation
    • Filing, copying, scanning, faxing, etc.
    • Catering and meal orders for meetings and special events, ensuring that receipts are managed appropriately.
  • Maintain professional and tidy conference rooms and common areas, ensuring that conference rooms are not double-booked and that they are always stocked.
  • Ensure that dishwashers are run and emptied as needed.
  • Review correspondence, memos, reports, and presentations.
  • Manage confidential and sensitive information with the highest level of integrity.
  • Maintain electronic and physical filing systems, ensuring documents are properly archived and easily accessible.
  • Conduct research and compile data for reports and presentations.
  • Support various projects and initiatives.
  • Partner with Executive Assistant and Human Resources Team to execute enterprise-wide projects, events, and initiatives.
  • Perform other duties as assigned.

Qualifications

  • Ideal Candidate Will Have:
    • A High School Diploma or equivalent is required.
    • An Associate’s or Bachelor’s degree preferred.
    • One to two years of administrative support experience preferred.
    • Experience as a receptionist, administrative support personnel, or similar administrative role preferred.
  • Required Skills/Abilities:
    • Strong organizational skills with the ability to multitask and prioritize work effectively.
    • Excellent verbal and written communication skills, including strong editing and proofreading abilities.
    • Demonstrated proficiency in Microsoft Office suite, particularly Word, Excel, PowerPoint, Outlook, and Teams.
    • High level of professionalism; ability to maintain confidentiality and handle sensitive information with discretion.
    • Strong attention to detail and commitment to delivering high-quality work.
    • Proactive mindset with the ability to anticipate needs and act accordingly.
    • Strong problem-solving and decision-making skills.
    • Experience with calendar management and travel coordination.
    • Flexible and driven to meet tight deadlines, handle multiple projects and prioritize them appropriately.
    • Must be able to pass pre-employment physical and drug screen.
    • Must be eligible to work in the United States, visa sponsorships are not available.
    • Regular attendance required.
