About the role

Pacific Retirement Services (PRS) is seeking an organized, resourceful, and highly professional Administrative Assistant to support our Executive Leadership Team and help coordinate administrative operations across PRS, its affiliates, and managed communities.

Responsibilities

  • Coordinate executive and administrative operations running smoothly.
  • Coordinate calendars, meetings, appointments, and travel.
  • Prepare meeting agendas, presentation materials, action logs, and follow-up documentation.
  • Aid in executive expense reports, records, files, and confidential documents.
  • Support administrative projects and presentations directed by the Executive Partner.
  • Partner with administrative professionals and leaders throughout PRS to ensure seamless coordination.
  • Welcome and assist employees, visitors, vendors, and other guests.
  • Manage office supplies, equipment, vendor relationships, repairs, and general building operations.
  • Support policy and procedure creation, review, and updates.
  • Represent Administration on the Safety Committee.
  • Assist with leadership meetings, organizational events, and other special projects.
  • Step in wherever needed to support the team and the organization.

Requirements

  • At least three years of experience in business administration, project coordination, executive support, or a related field.
  • Strong organizational, scheduling, and project coordination skills.
  • Excellent written, verbal, telephone, and customer service skills.
  • Proficiency with Microsoft Office and electronic communication tools.
  • Experience working with confidential or sensitive information.
  • The ability to adapt quickly, solve problems, and follow assignments through to completion.
  • A positive attitude and a willingness to jump in and lend a hand when needed.
  • An associate degree in business administration or a related field is preferred.
