About the role
We are seeking an Administrative Assistant to support the Director of Product Support Operations and his team. This role will provide administrative support, enhance department reputation, manage projects, plan events, and assist with various tasks.
Responsibilities
- Handle all confidential/sensitive information and documentation
- Partner with senior leaders to ensure the success of the department’s efficiency and growth
- Enhance department’s reputation by accepting ownership for accomplishments and adding value
- Project Management ownership, including planning and process improvement
- Maintain effective relationships and communications across all departments
- Plan, organize, and coordinate complex calendars with constant change
- Care for major departmental meetings and/or events; team and morale event planning
- Successfully prioritize numerous requests and incoming information, ensuring the appropriate level of vitality is given to each
- Aid with presentation preparations and meeting materials
- Attend meetings and capture takeaways when requested
- Aids with filing, research, and other administrative duties as needed
- Must be available and willing to assist with scheduling, travel, and unexpected changes with calendars

Job Qualifications
- Minimum of Associate’s degree; Bachelor’s degree preferred
- 5+ years of administrative support experience required
- Exceptional written and verbal communication skills
- Advanced knowledge of Microsoft Office (Outlook, Excel, PowerPoint, and Word), and G Suite (Sheets, Docs, Forms, Slides)
- Comfortable with ambiguity and working in an ever-changing environment
- Must be detail-oriented, highly organized, and able to work independently with minimal direction/supervision
- Ability to handle sensitive matters and exercise sound judgment, discretion, and confidentiality
- Proven success prioritizing work and maintaining composure in a fast-paced environment
- Be readily accessible and be able to use technology to gain efficiencies with asynchronous work
- Flexibility to work around leaders’ schedules is highly desired
Physical Requirements
- Primary functions require sufficient physical ability and mobility to work in an office setting
- To stand or sit for prolonged periods of time
- To occasionally stoop, bend, kneel, crouch, reach, and twist
- To lift, carry, push, and/or pull light to moderate amounts of weight
- To operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard
- To verbally communicate to exchange information
