About the role

The Administrative Assistant is the welcoming face of our office and a driving force behind employee engagement and community. Managing the front desk, the AA greets visitors, keeps our front office running smoothly, and supports our Executive Administrative Assistant with day-to-day administrative needs.

Responsibilities

  • Ensures there is a positive first impression for visitors and candidates by maintaining the reception, common areas, and lobby of the St. Louis office.
  • Represents the company by maintaining a welcoming, professional presence that reflects our values of caring, integrity, safety and growth.
  • Registers visitors and guests in a professional and courteous manner, ensuring that they are escorted to the appropriate parties or conference rooms.
  • Answers phone calls and directs callers to the appropriate personnel by maintaining current phone lists.
  • Provides administrative support including: Scheduling meetings Account reconciliation Filing, copying, scanning, faxing, etc. Conducts inventory and orders office supplies.
  • Manages catering and meal orders for meetings and special events, ensuring that receipts are managed appropriately.
  • Maintains professional and tidy conference rooms and common areas, ensuring that conference rooms are not double-booked and that they are always stocked.
  • Ensures that dishwashers are run and emptied as needed.
  • Reviews correspondence, memos, reports, and presentations.
  • Maintains electronic and physical filing systems, ensuring documents are properly archived and easily accessible.
  • Conducts research and compiles data for reports and presentations.
  • Supports various projects and initiatives.
  • PARTNERS WITH EXECUTIVE ASSISTANT AND HUMAN RESOURCES TEAM TO EXECUTE ENTERPRISE-WIDE PROJECTS, EVENTS, AND INITIATIVES.
  • PERFORMS OTHER DUTIES AS ASSIGNED.

Qualifications

  • Education: High School Diploma or equivalent is required. Associate’s or Bachelor’s degree preferred.
  • Experience: One to two years of administrative support experience preferred. Experience as a receptionist, administrative support personnel, or similar administrative role preferred.
  • Other Required Knowledge, Skills, And Abilities: Strong organizational skills with the ability to multitask and prioritize work effectively. Excellent verbal and written communication skills, including strong editing and proofreading abilities. Demonstrated proficiency in Microsoft Office suite, particularly Word, Excel, PowerPoint, Outlook, and Teams. High level of professionalism; ability to maintain confidentiality and handle sensitive information with discretion. Strong attention to detail and commitment to delivering high-quality work. Ability to work independently and collaboratively as part of a team, taking initiative and anticipating the needs of the team. Strong organizational and multitasking abilities. Proactive mindset with the ability to anticipate needs and act accordingly. Strong problem-solving and decision-making skills. Experience with calendar management and travel coordination. Highly motivated, self-driven, and eager to learn and apply new skills. Must be able to pass pre-employment drug screen. Must be eligible to work in the United States, visa sponsorships are not available.
