Our client, a growing construction and general contracting firm, is seeking an experienced Construction Administrative Assistant to support project managers, bid submissions, and daily office operations. This is a fast-paced, fully onsite role best suited for someone who has spent several years in the construction industry and understands the urgency, paperwork, and coordination required to keep projects moving.

Responsibilities
- Support project managers with bid and tender preparation.
- Coordinate subcontractor and vendor communication to obtain pricing, quotes, and required documentation.
- Prepare, track, and organize bid packages and submission materials.
- Request and manage certificates of insurance and other compliance documents.
- Maintain project files, job folders, and electronic records.
- Assist with construction-related paperwork, permits, contracts, and government documentation.
- Coordinate time-sensitive bid deliveries and project submissions.
- Answer phones and serve as a point of administrative support for the office.
- Assist with general office administration and operational tasks as needed.
- Ensure all documentation is completed accurately and submitted within deadlines.
Qualifications
- 3+ years of administrative experience within the construction, general contracting, or related industry.
- Previous experience supporting construction projects, bids, estimating teams, project managers, or field operations is required.
- Strong understanding of construction documentation, subcontractor coordination, and project administration.
- Highly organized with exceptional attention to detail.
- Able to prioritize effectively and manage multiple deadlines simultaneously.
- Self-motivated, resourceful, and comfortable working in a hands-on environment.
- Confident communicator who knows when to work independently and when to seek guidance.
- Proficient with Microsoft Office and document management systems.
- Comfortable working onsite five days per week and contributing wherever needed.
Pay & Schedule
- Competitive salary between $70,000 and $90,000 USD annually.
- Five days onsite in NY.
