About the role
The Administrative Assistant will primarily support the Electric Utility Department’s functions and initiatives in the Gastonia, NC office. This position handles all administrative duties and supports interdepartmental functions and special projects related to the Electric Utility department.
Responsibilities
- Process and maintain accurate field crew payroll, ensuring timely submission and compliance with company policies.
- Prepare and manage contract billing using multiple customer and utility billing software platforms, ensuring invoices are accurate and submitted on schedule.
- Coordinate and submit utility locate requests through the North Carolina 811 system to support safe and efficient project execution.
- Create and maintain job, project, and contract records within Spectrum Accounting Software, including project setup, cost codes, and customer information.
- Process change orders, contract modifications, and purchase order updates, ensuring all revisions are accurately reflected in accounting and project management systems.
- Perform inventory transactions including material receipts, transfers, adjustments, and reconciliation within the accounting software.
- Collaborate daily with project managers, field supervisors, and Asheville-based operations staff to provide administrative support and ensure effective communication between office and field personnel.
Requirements
- Previous Payroll and Billing experience a plus.
- Willingness to interact with a variety of internal and external customers with a positive and service-oriented approach.
- Proven critical thinking and problem-solving skills.
- Willingness and ability to gain a working knowledge of general construction functions.
- Excellent computer skills, including Microsoft Office Suite, and the ability to learn various internal software applications.
- Excellent written and verbal communication skills.
- Ability to demonstrate key traits indicative of the HAYNES Way, including integrity and professionalism.
- Ability to handle multiple comprehensive tasks simultaneously.
