Job Summary
Our business is growing and we are in need of an organized and detail-oriented Administrative Assistant with excellent communication skills to support our Operations Manager. This role is responsible for data entry, digital filing, and communication with vendors and clients. This role works almost exclusively remotely, though on-site work at our Brooklyn warehouse is a possibility.

- Tech-savvy – You're comfortable navigating and updating digital project management systems, graphic design platforms, CRMs, and bookkeeping software.
Responsibilities
- File documents, enter data, and update project templates in our project management platform (Basecamp).
- Create documents, update templates, and organize photos and files in our graphic design platform (Canva).
- Communicate with vendors and clients mainly via email and occasionally on the phone.
- Request information, documents, and payments and follow up kindly but firmly to make sure they are received.
- Create listings and enter data in our CRM platform (HubSpot).
- Enter data in our bookkeeping software (Xero).
- Create and update spreadsheets (Google Sheets).
Qualifications
- Experience in an administrative or data-entry role.
- Organization + Precise: Focused, thorough, and meticulous; consistently manages tasks with efficiency and attention to detail.
- Work Ethic: Self-starter with the ability to prioritize and complete tasks without supervision.
- Communication Skills: Confident, kind and professional when interacting with clients and vendors via email, text, or phone.
- Technical Proficiency: Tech-savvy; proficient in Google Suite and familiar with tools like Basecamp, Canva, HubSpot, and Xero or comparable programs.
Additional Details
This is a part-time remote position, roughly 10-15 hours per week (will vary seasonally).
Pay & Benefits
- Salary range: $22-25/hr
