Essential Function
The Administrative Assistant is responsible for preparing mailing jobs for entry, coordinating 3rd party arrangements, and scheduling jobs to be produced in a timely, efficient and cost-effective manner.

Position Specific Skills & Competencies
- General knowledge of company workflow, advanced knowledge of department workflow and requirements
- Advanced knowledge of USPS rules and regulations and staying informed of any changes
- Create and maintain a schedule for the department and communicate the expected time to start and complete tasks
- Maintain job production statuses
- Utilize quality control check procedures
- Schedule 3rd party transportation services for mailings
- Review, follow, and question information provided – require clarity and consistency
- Be prepared to answer questions regarding jobs as well as communicate material needs in order to meet mailing drop dates
- Produce mailing production paperwork
- Monitor Mailing Department inventory, and create purchase requisitions to replenish inventory
- Create reports and/or provide feedback to upper management
- Communicate with USPS
- Absorb and perform mailing handwork functions, as needed
Position Information
- Ability to sit, stand, and/or walk for prolonged periods of time
- Ability to operate a fork lift
Education
- High school graduate/GED
