Overview
Kimley-Horn is seeking an Administrative Assistant to join their team in Doral, Florida (FL).
Responsibilities
- Aid in word processing tasks such as revising client proposals and fee estimates, scope of services, forms, progress reports, and other project documents.
- Assist with producing plans, project manuals, and reports, which may involve copying, printing, binding, filing, and scanning documents.
- Compile meeting agendas, minutes, and other miscellaneous documents.
- Proactively manage Outlook calendars (meeting/call scheduling).
- Book travel arrangements and manage expense reports.
- Support the office’s monthly invoicing activities.
- Partner with other administrative staff and firm leaders to manage reception activities, including answering/directing phone calls, sending/receiving packages, and greeting visitors.
- Order supplies and maintain and upkeep production rooms, supply rooms, and common areas.
- Absorb occasional errands as needed.
Qualifications
- At least 2 years of experience in a corporate/professional environment in an administrative role.
- Strong verbal and written communication skills, including grammar and proofreading.
- High proficiency in Microsoft Office Suite.
- A professional, organized, client-oriented, and deadline-driven demeanor.
- A proven ability to maintain confidentiality.
- Able to anticipate needs and manage competing priorities.
- A positive team player with a commitment to quality.
- A self-starter who can thrive in an environment where leaders often travel off-site serving clients.
- Experience with contract management and billing is preferred.
- Graphics and PowerPoint skills are preferred.
