About The Role

Key Responsibilities
- Client Onboarding: Opening client account; preparing and submitting paperwork; following up with clients
- Client Relations: Answering phones; greeting clients; answering administrative questions; maintaining up to date client records
- Documentation: Generating and storing copies and records
- Office Logistics: Maintaining office supplies and office cleanliness
- Advisor Support: Scheduling appointments; generating reports; completing other requests
- Marketing Support: Coordinating marketing events; finding venues; event planning; marketing management; producing external documents
Qualifications
- Educational and Professional Background: Bachelor's degree in Business Administration, Finance, or a related field preferred; or equivalent professional experience. Prior experience in an administrative role, preferably within the financial sector or in client-facing positions.
- Technical Skills: Proficiency in Microsoft Office Suite, particularly Excel, Word, and PowerPoint. Familiarity with client management software and database systems (CRMs). Quick adaptability to new software and technology tools introduced in the workspace.
- Time Commitment: Ability to work on a part-time basis with the intent to grow into a full-time role within the near future (1-3 years).
- Communication Skills: Exceptional verbal and written communication skills to ensure clear and effective communication with clients, team members, and vendors. Ability to interpret and convey complex financial information to clients and team members.
- Organizational Abilities: Strong organizational and multitasking skills to manage multiple tasks and deadlines efficiently. Attention to detail, ensuring accuracy in all tasks including data entry, report generation, and client correspondence.
- Interpersonal Skills: Ability to work collaboratively with team members and build strong working relationships. Excellent client service skills, with an understanding of the importance of discretion and confidentiality. Empathetic and patient, able to understand and address client concerns effectively.
- Problem-Solving and Initiative: Proactive approach in anticipating needs and addressing issues before they escalate. Ability to identify challenges, think critically, and offer solutions.
