About the role

IES Residential is seeking an Administrative Assistant to provide administrative, front desk, and mailroom support. This position serves as a key point of contact for employees, visitors, customers, and vendors while supporting daily office operations in a fast-paced environment.

Responsibilities

  • Provide front desk reception and greet/direct visitors, employees, vendors, and customers.
  • Answer and direct phone calls, emails, and general correspondence.
  • Receive, sort, distribute, and process incoming/outgoing mail, packages, and deliveries.
  • Provide administrative support, including scheduling, data entry, filing, and document preparation.
  • Maintain organized records, reports, and office files.
  • Coordinate office and mailroom supplies and shipping needs.
  • Assist with meetings, travel arrangements, expense reports, and special projects.
  • Communicate professionally in English and Spanish as needed.
  • Maintain confidentiality and provide excellent customer service.
  • Perform additional duties as assigned.

Requirements

  • Minimum education: None
  • Minimum years of experience: 0‑2
  • High school diploma or equivalent required
  • Ability to pass applicable pre‑employment screening, including background check and MVR
  • License required: Yes
  • Job location: US‑TX‑Sugar Land
  • Regular, reliable, and punctual on‑site attendance required
  • Ability to work in a busy office, front desk, and mailroom environment with frequent interruptions
  • Ability to sit for prolonged periods and regularly stand, walk, bend, reach, and handle office materials
  • Ability to lift, carry, push, and pull at least 25 pounds
  • Occasional overtime, schedule changes, weekends, or travel may be required based on business needs
  • This position is not eligible for visa sponsorship or work authorization support; candidates must be authorized to work in the United States on a full‑time basis without current or future need for employer sponsorship

Qualifications

  • Bilingual in English and Spanish required
  • Previous administrative, receptionist, or office support experience preferred
  • Strong organizational, communication, and customer service skills
  • Proficient in Microsoft Office, including Word, Excel, Outlook, Teams, and PowerPoint
  • Ability to multitask and manage priorities in a fast‑paced office environment
  • Professional, dependable, and detail‑oriented
