Responsibilities
- Greet and assist visitors, answer phone calls, and direct inquiries to the appropriate department or individual.
- Receive, sort, and distribute incoming mail; prepare outgoing mail, including packages and correspondence.
- Scan, organize, and file physical and digital documents, ensuring proper archiving and easy access.
- Shred confidential documents in accordance with company policies and privacy regulations.
- Maintain a clean and organized office environment, including common areas, conference rooms, break rooms etc.
- Assist with routine office tasks such as copying, faxing, and data entry as needed.
- Assist with various office projects or tasks as assigned.
Qualifications
- Prior office or administrative experience preferred but not required.
- Must be within commutable distance and feel comfortable working 100% on-site. Must be comfortable with occasional local travel for office related duties.
- Strong verbal and written communication skills; professional interaction with staff, agents, visitors, and carriers.
- Ability to manage multiple tasks and prioritize in a fast-paced environment.
- Discretion in handling sensitive and confidential information.
- Friendly, approachable, and customer focused.
- Excellent time management and organizational skills.
- Strong problem-solving abilities.
- Reliable, punctual, and committed to meeting deadlines.
- Proficient with computers and quick to learn new systems.
- Positive attitude and openness to constructive feedback.
- Meticulous attention to detail and accuracy.
- High school diploma or equivalent; additional college coursework or certifications a plus.
- Must reside and be authorized to work in USA.
- Proficiency in French or Spanish is an asset; willingness to learn these languages valued.
