About the role
E-J Electric Installation Co. is seeking a highly organized and resourceful Administrative Assistant to provide dedicated support to multiple executives across E-J's business units. The ideal candidate thrives in a fast-paced environment, anticipates needs before they arise, and can seamlessly manage competing priorities across several senior leaders at once.
Responsibilities
- Provide comprehensive administrative support to multiple executives at once, balancing competing priorities and deadlines
- Manage complex, ever-changing calendars and coordinate meetings, appointments, and conference calls across several executives
- Serve as a primary point of contact for internal and external communications on behalf of supported executives
- Coordinate travel arrangements, itineraries, and expense reporting
- Prepare, format, and proofread correspondence, presentations, and reports
- Organize and maintain confidential files and records
- Assist with meeting preparation, including agendas, materials, and follow-up on action items
- Help coordinate office and executive-related events
- Anticipate the needs of multiple executives and proactively manage schedules and shifting priorities
- Draft and edit business correspondence with a high level of accuracy and professionalism
- Prepare briefing materials and presentations for executive meetings
- Maintain strict confidentiality regarding sensitive business matters
- Coordinate cross-departmental communication on behalf of supported executives
- Track and follow up on action items to ensure timely completion
- Support special projects and initiatives as assigned
Requirements
- 4+ years of experience supporting senior leaders or executives required
- Exceptional organizational skills with strong attention to detail
- Excellent written and verbal communication skills
- Ability to exercise sound judgment and maintain confidentiality
- Proficiency in Microsoft 365
- Ability and willingness to be on-site across different offices in the New York City area
- Strong multitasking abilities and comfort managing shifting priorities in a fast-paced environment
- Professional demeanor and strong interpersonal skills
