About the role
The Administrative Assistant will confirm a large volume of vendor shipment invoices for customer billing, process vendor acknowledgements for purchase orders to ensure accuracy, follow written process controls, and expedite purchase orders per documented procedures or at the request of Customer Service Representatives. This role is also responsible for operating telephone equipment, routing incoming calls, as well as third party invoicing. In addition, this position will support and learn basic warehouse processes and assist with timekeeping and safety documentation as needed.
Responsibilities
- Answer multi-line telephone to relay incoming and interoffice calls
- Greet vendors, customers, job applicants, and other visitors in a professional manner
- Determine purpose of calls and route them to appropriate personnel or departments
- Retrieve voicemail messages and forward them to appropriate departments
- Provide general administrative support including filing, data entry, document preparation, and record management
- Confirm and process vendor shipment invoices to support customer billing
- Process vendor acknowledgements for purchase orders to ensure accuracy
- Expedite purchase orders per documented processes and Customer Service requests
- Responsible for third party invoicing
- Learn and assist with warehouse processes as assigned
Requirements
- Proficiency with Microsoft Office (Outlook, Word, Excel) and office phone systems (Zoom)
- Excellent phone etiquette
- Multi-line telephone experience
- Strong organizational skills and ability to multi-task
- Computer and keyboard proficiency
- Ability to work independently
- Excellent verbal communication skills
- Professional attitude, appearance, and demeanor
- High School diploma or GED
