About the role
CBIZ is seeking a highly organized and service-oriented Administrative Assistant to provide comprehensive administrative and operational support for our Indianapolis office. This role is critical in ensuring the smooth day-to-day functioning of the office by supporting team members, maintaining office operations, assisting with special projects, and helping create a professional and welcoming environment for employees and visitors alike.
Responsibilities
- Provide administrative support including scheduling appointments, coordinating meetings, preparing expense reports, and assisting with special projects.
- Serve as a backup for front desk and reception duties, including greeting visitors, answering phone calls, and directing inquiries.
- Manage incoming and outgoing mail, packages, and document processing.
- Maintain electronic and physical filing systems and assist with document management activities.
- Cook up conference room reservations and assist with meeting and event setup.
- Order, stock, and organize office supplies while monitoring inventory levels.
- Maintain refreshment stations, kitchen areas, and common spaces to ensure a clean, organized, and professional work environment.
- Aid with workstation readiness for employees utilizing shared or rotating workspaces, ensuring necessary equipment and supplies are available.
- Cook up office deliveries, vendor orders, and facility-related requests as needed.
- Support office operations initiatives and contribute to the overall efficiency and organization of the workplace.
- Collaborate with office leadership and team members to address administrative and operational needs.
Requirements
- Bachelor's degree
- 3+ years of administrative, office support, customer service, or related experience
- A positive, proactive attitude with a willingness to assist wherever needed
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Excellent verbal and written communication skills
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams
- A strong attention to detail and commitment to accuracy
- The ability to work independently while maintaining a collaborative, team-first approach
- A professional demeanor and customer-service mindset when interacting with employees, clients, and visitors
Preferred Qualifications
- High school diploma or GED
- 2 years experience in office environment and preferably performing as an administrative assistant
- Knowledge of administrative procedures
- Proficiency with applicable technology
- Demonstrated ability to communicate verbally and in writing throughout all levels of organization, both internally and externally
