About the role
Bryn Mawr College Alumnae Relations & Development (ARD) seeks an Administrative Assistant to support the Constituent Engagement team with administrative tasks.
Responsibilities
- Serves as a greeter and forward-facing presence to welcome guests in Helfarian
- Supports events for ARD for programming such as Reunion, Owls Fest, New Student Send-Offs, and Presidential events
- Runs event name tags, manages phone event registration, and coordinates logistics of mailing event supplies and materials
- Organizes and maintains College branded materials
- Supports Post Office as well as UPS needs for ARD, which can include sending flowers/gifts/or event care packages to volunteers
- Maintains a working knowledge of our proprietary database tool, as well as GiveCampus our volunteer and giving platform, the ability to format Excel is necessary
- Enters events into proprietary communication and events system (Almabase) as necessary
- Makes appointments/maintains calendar scheduling
- Creates and supports meeting and event zoom links as needed
- Other responsibilities as assigned
Qualifications
- Three to five years of administrative experience and in-depth knowledge of accepted office procedures
- Understanding relevant policies in confidentiality and ethics in fundraising and information collection
- Ability to read and follow oral and written instructions
- Proficiency with computers and software, including Microsoft Office Suite, particularly Word and Excel
- Database experience preferred with a penchant to learn
- Strong problem-solving skills
- Ability to manage multiple projects and meet tight deadlines
- Demonstrated ability to work independent of direct supervision and to initiate necessary work procedures without specific instructions
- Excellent oral and written communication skills
- Knowledge of and interest in event support, volunteer management, and fundraising
- Ability to work collaboratively with others on fundraising and engagement projects
