Overview

BerryDunn is seeking a highly organized and proactive Administrative Assistant to support the day-to-day operations of our Portland, Maine office. The position is based in our Portland, ME office.

Office & Supply Management

  • Maintain and stock kitchens and resource rooms
  • Complete weekly inventory of office and kitchen supplies
  • Order items as needed

Proposal Production

  • Print, bind, and ship proposals and other business documents in accordance with firm standards

Mail & Package Coordination

  • Receive, sort, and distribute incoming mail and packages
  • Cook deliveries to remote staff
  • Communicate with employees regarding package arrivals and pickup

Meeting & Event Support

  • Aid in the planning, coordination, and onsite support of meetings, conferences, and company events

Equipment Coordination

  • Coordinate equipment shipments and returns
  • Manage requests through the service management system
  • Document completed actions and status updates

Confidential Information Management

  • Handle sensitive and confidential information with discretion and professionalism

Data Management

  • Maintain databases
  • Update records
  • Ensure accurate and complete documentation

General Support

  • Provide general administrative and clerical support to teams and departments across the firm as needed

Qualifications

  • Comfort with learning and using technology and software applications
  • Proficiency in Microsoft Office and Adobe applications
  • SharePoint and Copilot experience is a plus

Benefits

The hourly rate for this role is $24-$26 per hour. This rate range represents BerryDunn’s good faith and reasonable estimate of the possible compensation at the time of posting. If an applicant possesses experience, education, or other qualifications more than the minimum requirements for this posting, that applicant is encouraged to apply, and a final rate may then be based on those additional qualifications; compensation decisions are dependent on the facts and circumstances of each case. The hourly rate for the finalist selected for this role will be based on a variety of factors, including but not limited to, years of experience, depth of experience, seniority, merit, education, training, amount of travel, and other relevant business considerations.
