ALPA, the largest airline pilot union and non-governmental aviation safety organization, seeks an experienced Administrative Assistant for the United Master Executive Council (MEC) Office in Rosemont, IL, representing 18,800 United pilots.
About the role
The Administrative Assistant provides general administrative support to meet the MEC’s goals in office workflow, meetings, events, and expense reporting. They ensure timely backup support for administrative tasks, assist with events and committee work, and provide reception backup as needed. Travel is 0–2%.
Responsibilities
- Support MEC office workflow, meetings, and events.
- Handle expense reporting and administrative backup.
- Provide direct administrative support for assigned committees and events.
- Assist with event planning and reception duties as needed.
- Perform other committee support tasks as assigned.
Requirements
- High school diploma or equivalent combination of education and experience.
- Two years of related experience (three or more preferred).
- Proficiency in Microsoft 365 (Excel, Word, PowerPoint, SharePoint).
- Strong writing, communication, and interpersonal skills.
- Ability to lift up to 50 lbs. without assistance.
- Flexibility to work on short notice as needed.
Preferred Qualifications
- Experience with proofreading and editing.
Physical Demands
- Constant computer use and stationary positioning.
- Regular movement within the office and local area.
- Frequent sitting, standing, bending, and reaching.
- Occasional lifting, moving, or retrieving items up to 50 lbs.
- Sporadic handling of luggage up to 50 lbs. during travel (assistance may not always be available).

Pay
Projected annual salary range: $48,204.00 – $64,402.00.
