About the role

ADVOCAP, Inc., a private, nonprofit Community Action Agency with over 60 years of experience, is hiring an Administrative Assistant for its Weatherization Department in Oshkosh. This position supports anti-poverty and self-sufficiency programs by providing administrative assistance to the Production Manager and weatherization work crews.

Responsibilities

  • Communicate work schedules to participants and assist the Production Manager in planning and organizing schedules.
  • Schedule energy audits, subcontractor and final quality assurance inspections, deferral checks, and crew appointments with direction.
  • Make reminder contacts one day in advance of scheduled appointments; reschedule appointments on the day of if needed.
  • Maintain Outlook and physical daily, monthly, and annual calendars, employee attendance records, and contact lists for employees and business contacts.
  • Update and enter crew schedule information and new job tracking information.
  • Create new electronic and physical files for Weatherization applicants and maintain tracking systems for clients and job files.
  • Respond to calls about in-progress work and provide office support and reception desk duties as needed.
  • Travel to local work sites to deliver materials, as needed.

Requirements

  • A high school diploma or GED.
  • 9–11 months of previous work experience.
  • Proficiency in Microsoft Office and database systems.
  • A valid driver’s license and willingness to travel up to 10% of the time using a personal or agency vehicle.
  • CPR/First Aid certification or willingness to obtain it.
  • Ability to pass a drug screen and comprehensive background check.
  • Reliable attendance and a professional work ethic.
