About the role

This role provides high-volume administrative support to the Fleet Department, with a strong emphasis on data entry, record management, fleet documentation, and compliance-related activities. The Administrative Assistant III maintains accurate fleet records, processes critical documentation, supports operational workflows, and ensures timely communication within the team.

Responsibilities

  • Enter, update, and maintain accurate vehicle, equipment, and asset information within fleet management and related database systems.
  • Process fleet registrations, tags, titles, invoices, and other fleet-related documentation in a timely and accurate manner.
  • Review and route vehicle citations, identify associated drivers within the system, and communicate with employees regarding violations and required follow-up.
  • Run, generate, and distribute recurring fleet reports, including asset delivery updates, vehicle tracking information, and other operational reports.
  • Maintain organized physical and electronic filing systems to support document management and ensure quick retrieval of records.
  • Aid with backlog document processing, including driver token issuance and fleet compliance documentation.
  • Support fleet compliance processes by ensuring all required records, registrations, and documentation remain current and properly recorded.
  • Respond to internal inquiries from team members and other departments, providing timely and professional administrative support.
  • Assist with timekeeping entry, ensuring accurate and timely recording of hours and related information.
  • Support purchasing activities by processing requests, tracking documentation, and coordinating related administrative tasks.
  • Cook up and coordinate scheduling activities, including meetings and other operational appointments, as needed by the fleet team.
  • Process incoming and outgoing mail for the fleet department and ensure proper routing of documents and correspondence.
  • Provide general office administration support to the fleet team, including clerical tasks, document preparation, and data organization.
  • Collaborate with operations-focused teams to support ongoing fleet, transportation, or asset management activities.

Essential Skills

  • 11+ years of experience providing expert-level administrative support.
  • Strong data entry experience with a high level of accuracy and attention to detail.
  • Proficiency with Microsoft Excel and Microsoft Office applications.
  • Demonstrated experience performing administrative support duties in a fast-paced office environment.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities.
  • Comfort working with repetitive administrative tasks and detailed information.
  • Experience with clerical tasks, document management, and filing.
  • Experience supporting operations-focused teams, particularly in administrative capacities.

Additional Skills & Qualifications

  • Experience in fleet, transportation, logistics, automotive, or asset management environments.
  • Experience working with registration, title, compliance, or asset tracking documentation.
  • Experience generating reports and working within database or fleet management systems.
  • Experience in scheduling and coordinating activities within an office setting.
  • Familiarity with fleet management concepts, asset tracking, and document control processes.

Work Environment

This position operates primarily in an office-based environment, with four days per week onsite and one day per week remote (typically Friday). The role involves extensive computer work using Microsoft Office, especially Excel, and other database or fleet management systems. The work setting is fast-paced and process-driven, requiring focus on detailed documentation, data accuracy, and consistent administrative workflows. The position involves standard clerical and office duties, including handling physical and electronic records, processing mail, and supporting day-to-day departmental operations.

This is a Contract position based out of Forest Park, GA.

Pay And Benefits

The pay range for this position is $25.00 - $32.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
